Creating a new appointment

Information for Appointment setup instructions in Dentally Portal

To set up an appointment for patients to book online, head to the appointment section in the left-hand navigation.

We’ve broken down the appointments into categories which are:

New or lapsed patient dental exams - Longer dental appointments available to new and lapsed patients

Routine dental exams - For existing patients only

Direct access hygienist appointments - Available to new and lapsed patients

Hygiene appointments - For existing patients only who regularly attend the dentist

Consultations - Also available to new, lapsed and existing patients

Click the button labelled new in the category of the appointment you’re creating. You’ll then be guided through a short wizard.


The first step will be to set an appointment reason.

This list is the same as your Dentally appointment reasons. We suggest matching these for reporting reasons. This will not be visible to patients.

'Name' will be the visible appointment name to patients.

'Description' will provide patients with some education about the appointment. We suggest copying this from your website and keeping it quite short.

Next, you will set the duration, price and deposit.

Note: To set an appointment deposit, you will first need to integrate your existing Stripe account.

Duration

Set the length of the appointment. Don’t worry if practitioners have different durations, we can set this in a moment.

Pricing

While we recommend showing the appointment price for transparency and patient awareness, you can choose to enter 0, which will show the appointment as free. Or leave the price blank which will hide the price altogether. If you have stripe enabled, setting a deposit will be the amount a patient is required to pay when booking the appointment. Deposits help with reducing late cancellations and patients failing to attend.


Practitioners

Select the practitioners who offer this appointment, you can also override the default appointment duration if you have practitioners who require longer or shorter lengths. Do this by clicking custom and then using the drop-down to set the correct duration for that practitioner.

Diary Control

This is how you define where this appointment can be booked into your practitioner's diary.

Free space will mean that patients can book anywhere that is available. This will give patients more flexibility.

The other option is to specify individual sessions, this means patients will only be able to book in for times within the sessions you have configured in Dentally. This is good if you want to limit the appointment to specific times of the day or specific days of the week.

You can also select both whitespace and sessions.

Click save and you are ready to set your appointment to live! If you’re not quite ready, go ahead and click close and you can toggle the appointment status here when you are ready.
