How to cancel an appointment in Dentally?

Let's take a look at how you can cancel down an appointment in your diary.

Cancelling an appointment down is super easy;

The most efficient way to cancel a patient's appointment is through the appointments tab in their record. Video example below πŸ‘‡

When cancelling an appointment from a patient's record you will not only have full control of cancelling the patient's appointments but also over-reordering a series of appointments and a full overview of the patient's attendance history.


When cancelling an appointment you can add a cancellation reason or you can simply
cancel the appointment as demonstrated in the video above.


Step-by-step instructions

  • First search for your patient's record

  • Go to the appointments tab and find the appointment that the patient wishes to cancel

  • To the left-hand side of the appointment you will see an edit button, click this and
    it will open up the appointment

  • Change the status from Pending to Cancelled

When cancelling an appointment you can add a cancellation reason or you can simply cancel the appointment. If you wish to add a cancellation reason follow the steps belowπŸ‘‡

  • Once you change the status you will see it gives you the option to add a cancellation
    reason

  • Select your reason and add any notes if you wish to do so, and click save.


Rebooking a cancelled appointment

Any time that an appointment is cancelled in Dentally or marked as a Did not
Attend we will automatically add the clipboard icon next to that appointment to
the left-hand side of the appointment in the patient's record.


If the patient wishes to rebook the appointment at this stage...

  • Simply click on the clipboard icon on the patient's appointment screen to add the appointment to the clipboard.

  • Go to your diary and click on the clipboard

  • Find a suitable time and simply drag and drop the appointment from your clipboard onto the diary at the required time.

Any notes added when the appointment was cancelled and remade through the clipboard can be removed if required.


Rebooking the appointment later

If the patient is not ready to rebook the cancelled appointment at the time of cancelling, but contacts you again in a few days or weeks, simply navigate to the patient's appointments tab and click on the clipboard icon then.

The clipboard is a global feature that everyone in your team has access to. Please only add an appointment to the clipboard if you are about to make the appointment for the patient there and then.


If you add to the clipboard in error simply click the waste bin in the clipboard feature in the calendar or the appointments tab.


Cancelling an appointment through the appointment diary...

  • Locate the appointment in question

  • Right-click on the appointment in your diary.

  • Choose 'Cancel' from the drop-down list.

  • Then simply select the cancellation reason, The appointment will then be cancelled and automatically removed from the calendar.
