How to use calendar blocking for time off

Mark a practitioner as unavailable in the calendar to block out time off or unexpected absences.

How do I mark someone as 'Unavailable' in Dentally?

  1. Head to the 'Calendar' using the toolbar on the left-hand side, and click on the practitioner's name along the top of the calendar. This is not possible in 'List' view.

  2. If someone's start or end time has changed, you can adjust it using the time boxes. If someone is no longer available for the whole day, due to something like sick leave or holiday, you can simply mark them as 'Unavailable'.

  3. Once you've made the changes you need, click 'Save'. The team member's availability will now be blocked off to reflect your changes - this will be shown by the day being greyed out in the calendar.

πŸ“ Please note: This feature is available to all Level 4 users. To enable someone below Level 4 to have this access, go to 'Settings' > 'Users' > 'πŸ“ Edit', then scroll down to 'Security' and tick 'Can override practitioner schedules?'.

Why is it useful to mark a practitioner as unavailable?

This feature is quick and easy - so it's great for last-minute changes to availability, such as if a practitioner has to leave early, or if someone calls in sick, as changes will only apply to that one day. It's also great for blocking off 1-2 days of annual leave quickly.

If you need to block off a multiple days of leave/time off all in one go, schedules are the best tools to use.

With these methods, you can avoid using 'fake' appointments to block time out in your calendar - which can impact the accuracy of your utilisation reporting.
