How to set up clinical notes templates for personal use by practitioners?

Using note templates in Dentally can save you valuable practice time ...

A template is a file that serves as a starting point for a new clinical note. When you open a Notes template, it is pre-formatted or partly completed in some way.

If you find yourself creating similar notes over and over again, it might be a good idea to save one of them as a template, and then you won't have to format your notes each time you want to make a new one. Just open the template and start from there. It is a quick way of making sure you have the right information, every time.


​What can I use note templates for?

Use a Notes template to:

  • Ensure that all similar treatments have consistent information recorded,

  • Quickly complete a series of fields

  • Ensure that all patients receive the correct information.

Why have your personal Clinical Notes Templates?

Create your own clinical notes templates so that you:

  • Have access to your personal notes templates wherever you are working

  • Have notes that match your personal preferences for the treatment

Remember! Your personal clinical notes templates are linked to your Dentally login and therefore travel with you wherever you are working, it also means they can only be accessed by you! If you want to create clinical notes to be used across the practice follow this help guide instead!


Permission levels

If you have permission levels 1, 2 or 3, you can create your own personal clinical notes templates from My Account.

To create, edit, or delete clinical note templates for the site, you must have Level 4 (Administrator) permissions or you need to have "Can manage Templates?" set as an opt-in permission in Settings > Users > Edit > Security.

You can access your settings for the Notes in, Settings > Templates > Notes

When creating your clinical notes templates please be aware that your shortcut MUST BE unique. For example, if you already have a practice hygienist template called Hygiene1 you CANNOT call your personal notes template Hygiene1


How to set up your personal Clinical Notes Templates

  • From My Account, select Template Notes from the left-hand menu

  • Either select a template from your list or create a new template for your personal use.


Create a new Clinical Note Template

To create a new personal Clinical Note Template follow the below instructions πŸ‘‡

  • Select New Note in the top right of the screen

  • Type in the name and shortcut for your new note template

  • Complete all the fields in the new note

  • Click on Save when you are finished.

Use a Clinical Note Template Shortcut

  • A shortcut automatically inserts the text into the clinical notes

  • Each shortcut MUST be unique to your Practice

  • If you try to use a shortcut that is already in use, in the list of templates, you will be notified as you try to save the note.

  • Change the shortcut to something unique and save

To use a personal Clinical Note Template

  • To use a personal clinical note template, use the template picker from the notes section of the treatment and select the notes you wish to use and then close this screen.

or

  • Type in the shortcut straight into the treatment notes followed by a space, this will automatically insert the note template for you to use.

Dentally Use Clinical Notes templates from list
  • Select from the Mine tab to see your personal templates (+)

  • To see all the notes templates for the practice, select the Practice Tab

  • To use the template from the list, simply click on the template once.

  • Close the window and the template notes have been added to the treatment.

  • Save as normal.


To edit or Delete a Personal Clinical Notes Template

  • To edit or delete a personal clinical notes template, go to My Account

  • Select Template Notes

  • Select the template from the list

  • Edit the note and save

or

  • Delete the note
